The Loopio teardown: what 1,700 customers are actually paying for
Loopio is the category's reference customer. Reviews, pricing signals, and product surface area, taken seriously. What it does well, what it doesn't, and what 1,700 customers are buying when they renew.
Loopio is the reference customer of the RFP software category. Founded in 2014, Toronto-based, with 1,700+ customers per their own homepage including Thomson Reuters, IBM, Netskope, Sprinklr, and Citrix. Most buyers who walk into a comparison conversation in this category have either evaluated Loopio, used Loopio at a previous employer, or read the same ten G2 reviews everyone else has read.
A serious teardown of Loopio is therefore a teardown of how the category expects to be evaluated. This post is that teardown. We use only public sources: G2, Capterra, AutoRFP’s review summary, Loopio’s own marketing pages, the DDQ guide they publish, and the public reviews aggregated across review sites.
We name what Loopio does well and what they don’t, and we describe the kinds of teams who renew versus the kinds who don’t. Where we don’t have a defensible number, we don’t make one up.
The product surface
Loopio markets four feature areas: AI Magic (their AI suggestion product), the content library, workflow, and analytics. Each is worth taking seriously.
AI Magic — what it is and what reviewers say
AI Magic is Loopio’s brand for AI-powered answer suggestion. When a user lands on a question, Magic surfaces candidate answers from the library and offers one-click acceptance.
The G2 and Capterra review pattern on Magic is consistent and not flattering. Multiple reviews use language like “Magic doesn’t work well — the answers are usually wrong” and “Magic produces outdated suggestions once the library falls behind.” AutoRFP’s review summary aggregates the pattern: Magic works on basic questions, fails on nuanced content, and degrades quickly when the content library is not actively maintained.
What’s actually happening here is the predictable failure mode of any AI suggestion feature stacked on top of an unmaintained KB. The model retrieves from the corpus the user has. If the corpus has stale answers, Magic surfaces stale answers. The product layer is doing what it’s supposed to do — the upstream data is the problem.
Loopio’s response to this — implicit in their messaging and in the product roadmap their reviews discuss — has been to pitch the content library’s maintenance tooling as the fix. The library is supposed to flag stale content; users are supposed to refresh it; Magic improves as a result. This works in theory and partially works in practice. The reviewers who report Magic working well are usually reviewers whose teams have a dedicated content owner who maintains the library on a calendar. The reviewers who report Magic working badly are usually reviewers whose teams don’t.
This is not a Loopio-specific failure. Sparrow’s content library research found that content-library initiatives across vendors fail because of unclear ownership, not because of the tool. Loopio’s design assumes a content owner. A buyer without one will not get the product they think they’re buying.
Content library — where Loopio actually wins
The content library is where Loopio is strongest. The review pattern on the library is markedly more positive than the pattern on Magic. Reviewers consistently describe the library’s tagging, version history, and approval workflows as mature and reliable. The library’s data model — questions, answers, tags, owners, expiration dates — is the result of a decade of iteration, and it shows.
Specific things the reviews repeatedly call out as strengths:
- Approval workflows. A library entry can be created, drafted, reviewed, and approved with a clear audit trail. Reviewers in regulated industries (financial services, healthcare) cite this as the reason they chose Loopio.
- Stack of tags. Multi-axis tagging (topic, vertical, region, expiration) lets large teams partition the library across regions and product lines without creating duplicates.
- Version history. A given answer’s evolution over time is visible to reviewers. When a buyer’s evaluator asks “is this the answer you gave us last year?” the team can answer factually.
What the library does not have, and where the same reviewers grumble:
- Search that grades hits semantically. Loopio’s search has historically been keyword-weighted. Reviews describe a familiar pattern of “the search is good but you have to know the right keywords.” This is not a Loopio-specific complaint — it’s the dominant complaint across the category — but Loopio’s library is large enough that the keyword limitation costs more than it would in a smaller product.
- Freshness signals that are surfaced at the right time. Stale-content flags exist but are surfaced in admin views, not in the drafter’s workflow at the moment they’re about to use a stale answer. This is a category-wide design failure, not a Loopio-specific one.
Workflow — adequate, not differentiating
Loopio’s workflow features — assigning questions to reviewers, tracking status, sending reminders — are described in reviews as adequate. They work. They don’t differentiate. The 1up.ai team’s observation that RFP tools are “mostly just knowledge management” with workflow chrome on top applies cleanly to Loopio.
A team that values a Trello-like view with proposal-shaped cards will be content. A team that wants automation in the workflow — assignment based on question history, escalation based on staleness, automated draft handoff to SME — will not find it differentiating.
Analytics — useful for managers, not for product improvement
Loopio’s analytics surface team-level metrics: response rate, average time to answer, library usage, win rates when integrated with a CRM. Reviewers who manage proposal teams cite these as useful for showing leadership what the team is doing. Reviewers who write proposals cite them as background noise.
The analytics that aren’t there, by review and by inspection of the public marketing: per-answer effectiveness (which answers drove which wins), evaluator-level scoring breakdowns, content-decay rates. These are the analytics that would change the next bid. Their absence is consistent across the category and is one of the strongest arguments for the existence of newer entrants.
Pricing posture
Loopio does not list pricing on its website. The pricing page is a contact form. The public signals about pricing come from a few sources:
- Indirect review evidence. Capterra and G2 reviews mention cost as a recurring concern, particularly at renewal. Reviewers describe a pattern of double-digit annual increases when contracts roll over.
- Specific floor signals. Periodically, Loopio’s website or third-party listings have surfaced an entry-tier price. Public references — including AutoRFP’s commentary — anchor the entry tier in the low five figures and describe escalation thereafter.
- Per-seat structure. Reviews and category research consistently describe Loopio’s pricing as per-seat, with separate licensing tiers for content contributors versus full users.
What this adds up to: Loopio’s price floor is high enough that small proposal teams (1-3 people) report sticker shock; their effective price for mid-market teams (4-10 people) lives in a band that public review evidence describes as “expensive but justifiable when the library is maintained”; their enterprise price is opaque and quote-only.
We are not publishing a specific dollar number because the public floor signals have varied across years and the variance is wider than the precision a number would imply. A buyer in active diligence should request a same-size reference call from Loopio’s sales team — that’s the cleanest source of a real number for that buyer’s deal context.
Where Loopio wins
This is the section the category’s competitors usually skip. Loopio does win, and for specific reasons.
Battle-tested at enterprise scale. Loopio has 1,700+ customers and ten years of operating history. For a buyer in a regulated industry where vendor risk matters, that’s load-bearing. A startup competitor — including PursuitAgent — does not have that operating history, and an honest comparison says so.
Library data model maturity. The library’s tagging, approval, and audit features have been hardened through a decade of customer feedback. A team that needs auditable answer lineage for compliance reasons gets it from Loopio with no engineering effort.
Customer success investment. Reviews consistently mention the customer success team as a reason for retention. Loopio invests in onboarding and library structuring assistance in a way that smaller competitors don’t and likely can’t at their scale.
Integration breadth. Connectors to Salesforce, SharePoint, Box, Slack, and the major CRMs are built and maintained. A buyer with an existing stack gets less integration work.
These are real strengths and any buyer evaluating Loopio against alternatives should weigh them. We work in this category and we lose deals to Loopio for these specific reasons; we are reporting that honestly.
Where Loopio doesn’t
Three places, with sources.
Magic doesn’t ground its outputs in a way reviewers trust. The recurring “the answers are usually wrong” complaint maps to the same gap Stanford HAI documented in commercial legal RAG: citations don’t guarantee claims are supported. Loopio’s Magic surfaces candidate answers from the library; it does not enforce that the drafted text exactly matches the cited answer. Reviewers compensate by re-editing most suggestions, which removes most of the time savings the feature was supposed to provide.
Search is keyword-weighted in a semantic world. The “search is terrible” review pattern that recurs across the category applies to Loopio more painfully because the library is large enough that the keyword limitation produces more loosely-related noise than a smaller library would. Newer competitors with hybrid (dense + BM25) retrieval have closed this gap; Loopio’s roadmap suggests they’re working on it but the product currently in market is keyword-dominant.
Pricing escalation at renewal. This is the single most consistent renewal-specific complaint in the public reviews. Buyers describe contracts that grow significantly faster than their library or seat count grows. The pattern shows up consistently enough across G2 and Capterra that any buyer evaluating Loopio should pin down renewal-cap language at the contracting stage.
Who renews and who doesn’t
The public review pattern, taken in aggregate, suggests two patterns of customer retention.
Loopio renews well with:
- Mid-to-large teams with a dedicated content librarian who maintains the corpus.
- Regulated-industry buyers (financial services, healthcare, public sector) who need auditable answer lineage.
- Teams that integrate Loopio with a CRM and use the analytics for management reporting.
- Teams that started on Loopio and have built two or three years of library work — switching cost is real.
Loopio renews poorly with:
- Teams without a dedicated content owner. The library decays, Magic stops working, and the cost-to-value ratio crosses the renewal threshold.
- Smaller teams (1-3 people) who can’t justify the seat-tier pricing as response volume changes.
- Teams whose primary unmet need is grounded AI in the strict sense — citations that map to specific KB blocks with span-level entailment. Loopio’s product wasn’t built around that and its retrofit is, by the public review evidence, partial.
What this means for the category
Loopio is a fair representative of the category’s incumbents. Their strengths — battle-tested data model, customer success investment, integration breadth — are the strengths of the category. Their weaknesses — AI suggestions that don’t ground, keyword-dominant search, opaque renewal pricing — are also the weaknesses of the category.
A new entrant in this market — and there are several, including us — has to be honest about both halves. We are not going to outpace Loopio’s ten-year customer success investment in our first three years. We are not going to ship integration breadth at Loopio’s scale immediately. The competitive case rests on the other half: the AI suggestion that is grounded in a way reviewers can trust, the search that grades semantically, the pricing that publishes its floor.
A buyer who needs the first half should buy Loopio. A buyer who needs the second half should look at the alternatives, and the comparison page on our marketing site goes deeper into the head-to-head than a blog post can.
The takeaway
1,700 customers are paying for Loopio’s library data model, customer success investment, and integration breadth. Some fraction of them are also paying for AI Magic and finding it unreliable. Some fraction of them are facing renewal escalation they did not price into their original procurement.
A teardown that names what the product does well alongside what it doesn’t is more useful than a teardown that doesn’t. Loopio is the category’s reference because the product really does work for a defined buyer profile. The category’s frustration is mostly with what happens to buyers who don’t fit that profile.
